Definition: Event – This refers to ‘events’ that Carriers of Hope put on and attendance is recorded.
Find the event created for this date
Click on the ‘Events’ tab. Click on the name of the event that you are hosting. This will display a list of all of the dates that the event has been hosted. Click on the one with today’s date.
Add a new family to the database
Make a note of the required information and pass it to the coordinator to add to the database.
Add a new client to the database
Make a note of the required information and pass it to the coordinator to add to the database.
Record attendance of a client
Click ‘Add Attendee’ and then search for and click on their name. The search will display suggestions if the name has been spelled incorrectly. Click save.
Remove an attendee added in error
Click ‘View All’ under the heading ‘Attendees’. Click the arrow next to the name of the person added in error. Click delete.
Update client information:
Click ‘View All’ under the heading ‘Attendees’. Click on the name of the client whose details you wish to update. Update their details. Click save. Ensure that the contact details of the lead contact have been updated as well.
Declaring a pregnancy
Click the arrow next to the ‘Pregnancies’ on the right of the page and click ‘New’. Add the due date and click ‘Save’.
Adding a delivery date
Below ‘Pregnancies’ on the right of the page, click on the name of the client followed by the relevant due date. Add the delivery date and click ‘Save’. Now add the baby as a new family member.
Family/ Last name
(If a client has started a new family with a partner, or got married to someone, who is not yet on the database, make a note of the required information and pass it to the coordinator to add to the database.)
Click on the pen button next to ‘Family’. Change their last name and select the new family that they are part of.
Country of Origin / First Language / Residency Status / Level of spoken English
Click on the pen button next to any of these headings. You can then select the answer from the drop down menu. You can start typing the answer and it will search the menu. If you need to supply an answer not provided, please email the Admin Coordinator with the answer and the name of the client who requires that answer.
Record the ‘Big Ticket’ items, crates and bags distributed
Under the heading ‘Items used or given away’ click the ‘Add New Item’ button. Search for the name of the item that you wish to record having been given away. Click on it, and then add the quantity of that item. Click save.
Record the cash value of smaller items distributed at an event
In the window on the right of the screen, click on the pen next to the ‘Monetary value of items given away’.Add the monetary value of smaller items and big ticket items distributed at that event, e.g. through a raffle.
